Acting ARC: Senior Admissions and Registration Administrator Internal vacancy within Registrar’s Division

Job Purpose
- Administer and execute all application, admission and registration related duties in accordance with legislation, policies and procedure prescriptions ensuring that set timelines are always met.
- Supervision of staff in the ARC office by managing the workload distribution, leave schedules, identify skills and training required, conduct performance appraisals, monitor and conduct adherence to disciplinary codes and University policies and any other Human Capital operational related activities.
Liaise effectively with applications, prospective students, students and CPUT internal stakeholders in terms of application admission and registration enquiries and processes. - Administer and maintain student records in accordance with legislation, policies and procedure prescriptions.
- Capture, validation and correcting of data input and outputs ensuring accurate and quality data.
- Ensure that data corrections are completed by all staff within the set timelines.
- Do general office administration.
Job Knowledge, Skills and Experience
- National diploma with at least 3 years’ administrative experience, direct relating to the admission and registration duties and responsibilities in accordance with legislation, policies and procedure prescriptions within the Admissions and Registration Centre at CPUT.
- Operational knowledge of Applications, Admissions and Registration processes within the Admissions and Registration Centre at CPUT.
- Experience with the ITS Application and Registration systems including other technical platforms used.
- Key Performance Areas / Principal Accountabilities
Enquiry Management:
- Receive and respond to all enquiries daily either via mail, telephonically or face-to-face to public, applicants, prospective students, students and CPUT staff community with the focus on good Customer Services.
- Attend to escalated enquiries and respond the soonest. Respond immediately to escalated enquiries.
Human Resource Management:
- Supervision of staff in the ARC office by managing the workload distribution, leave schedules, assist with the identification of skills and training requirements, conduct performance appraisals, monitor and conduct adherence to disciplinary codes and University policies and any other Human Capital operational related activities.
Applications and Admission Operations oversight:
- Supervise, and oversee all applications, admissions and registration, and other duties relating to ARC and in accordance with legislation, policies and procedure prescriptions and ensuring that timelines are met.
- Capturing and processing of applications, validation of information received ensuring completeness of applications, validation of documentation submitted, prepare applications for selection, follow-up of outstanding selection outcomes and processing of admission outcomes where required and in accordance with legislation, policies, rules and procedures for qualifications assigned to you.
Registration Operations oversight:
- Assist ARC Management with the arrangements to accommodate registrations and assign relevant duties to staff ensuring the execution of the registration plan at the relevant campus.
- Processing of manual registrations and liaise with prospective students, students and Faculties once completed and assist with registration related enquiries.
Data Management:
- Capture, validate and correct data inputs and outputs ensuring accurate and quality assured data.
- Validate documents received, data submitted ensuring good quality of data. Ensure that HEMIS statutory reporting validations are completed by staff within the set timelines.
- Pay attention to detail when processing information.
- Quality assure data captured for accuracy
Document Management:
- Ensure that all filing is completed by all staff members in accordance to legislation, ARC document management file plan and retention schedule or any guidelines provided.
- Collate and file student records on student’s files on conclusion of registrations for qualifications assigned to you.
General Office administration:
- Adhere to office rules. Knowledge and adherence to legislative prescriptions, rules, policies and apply correctly.
- Complete duties assigned by ARC management.
- Manage all administration in the ARC office.
